Event Hotels: One Shape Doesn't fit all

If you’ve ever booked a hotel via an official event website, chances are you’ve seen messages like these:

My sense is that nobody objects — when the event owner has truly considered their needs when selecting the hotel(s).

Sometimes, we assume everyone wants the same thing: a 4★ room next to the venue, double bed, breakfast included, free cancellation — and yes, that is what the majority want, but there’s a significant number who don’t, and no amount of pleading will stop them from booking elsewhere.

Some might shrug and say, “Well, you can’t please everyone,” and they’re right, but you can please a wider cross-section of attendees by taking a thoughtful, considered approach to hotel sourcing.

I’ve been thinking about event hotel bookers. Nobody sticks to a single type — our needs shift with mood, circumstances, and trip length. But when I look back, I’ve always found myself in one of three categories:


The Insider 🤝

“I'm here to get things done and meet the right people.”

The Insider is drawn to the energy of the event. They want to be where conversations happen, moments unfold, and connections form. They prioritise staying close to the venue so they can move easily between sessions and networking, valuing convenience not just for logistics but for the sense of being fully immersed in the experience.


The Evaluator ⚖️

“I want a stay that balances comfort, convenience, and cost.”

The Evaluator is a thoughtful decision-maker who weighs up price, comfort, and proximity to find the smartest overall stay. They don’t default to the official hotel or the cheapest option, instead, they compare and choose what feels like the best all-round fit, valuing flexibility and a sense they’ve made a well-judged choice.


The Explorer 🗺️

“I want a place where I can unwind and explore the city.”

The Explorer craves freedom, and a sense of place. They like to step away from the conference bubble to explore, recharge, and make the trip feel personal as well as professional. Their hotel choices reflect comfort, character, and the chance to create their own experience.


The Big Question?

Look at your own event hotel programme and ask yourself:

"Am I really meeting the needs of my attendees — The Insider, The Evaluator, and The Explorer — or am I unintentionally driving them to book elsewhere?”
